🔹 What is a Multi Witness Event?
A Multi Witness Event is a single scheduled deposition that includes more than one witness. Instead of setting up separate Zoom links for each witness, all scheduled witnesses appear in the same Zoom session, with depositions conducted sequentially.
This format streamlines scheduling and enhances efficiency for legal teams while maintaining transcript accuracy and procedural integrity.
🔹 How to Identify a Multi Witness Event
You may be assigned to a deposition where:
- Multiple witnesses are listed in the event title or description (Such as: Deposition of Witness 1 and Witness 2)
- Notes in the event form or communications indicate back-to-back witnesses
- The scheduled event has an unusually long duration
- You see multiple individuals in the Zoom room who appear to be witnesses
Be observant and clarify roles early in the event.
🔹 Workflow Expectations for Multi Witness Events
1. Verify Attendees Thoroughly
- At the start of the event, confirm the full names and roles of all participants.
- Confirm who the first witness is.
- Label all other witnesses as “Other” until it is their turn to testify.
âś… Best Practice: Ask each person to state their role and document it in your event notes for reference.
2. Zoom Labeling
- Set the current witness to “Witness.”
- Set additional witnesses not yet testifying to “Other.”
- Attorneys, guardians, and interpreters retain their respective Zoom labels.
3. Recording and On/Off Record Procedure
Follow the script to complete Closing and ask about transcript orders.
Before beginning the next witness, take a moment to:
- Re-confirm attendance
- Verify names, roles, and Zoom labels
Proceed on the record only once you’re prepared
Each witness deposition is treated as a distinct proceeding.
4. Transcript Orders
- Each witness will have their own transcript — there are no combined transcripts.
- After deposing each witness, ask the attorneys whether they will be ordering the transcript for that individual.
- Record transcript orders in the Event Form as instructed.
🔹 Common Questions
âť“ What if multiple witnesses are in the room at the same time?
Only one person should be testifying at a time. All others should be labeled as “Other.”
Attorneys may choose to have witnesses:
- Remain present and muted
- Leave the Zoom room until their turn
Let attorneys decide how to proceed. Do not make this decision yourself. If there is disagreement, text Support immediately.
❓ What if there’s a disagreement about the setup?
If attorneys disagree about how the Multi Witness structure should work:
- Text Support immediately
- Allow the attorneys to determine how they’d like to continue
âť“ Should I submit separate CNAs?
Yes. Each witness deposed will have their own CNA option in the post-event workflow.
If a witness was scheduled but did not appear, this must be reflected in their individual CNA submission.
âť“ Do I need to verify each witness before their turn?
Yes. Before beginning the deposition for each new witness, you must:
- Conduct the standard witness ID procedure, just like a single-witness event
- Confirm their full name
- Confirm their role (e.g., witness)
- Ensure they are ready to begin testimony
Update Zoom labels accordingly before going on the record.
